The challenge
Fleet fueling ran on paper receipts, drivers paying out of pocket, weekly spreadsheet reconciliation and slow IFTA prep. Owners couldn't see which trucks cost the most or stop misuse before it happened.
What we built
- Card managementIssue cards to drivers or units, then lock, pause or replace them instantly.
- Spend rulesDaily or weekly limits by fuel type, category, time and location.
- Transaction insightsEvery purchase logged with time, place and merchant, and smart fraud flags.
- Unit analyticsFuel cost per unit, per driver and per mile, with unit comparisons.
- Weekly billingOne consolidated statement, generated as a PDF by queued jobs.
- QuickBooks & IFTAInvoices pushed to QuickBooks Online, plus IFTA, CSV and Excel exports.
- TMS integrationFuel transactions linked to loads and units in PDG's TMS, which we also built.
How it works
- Admin issues a card and sets its limits
- Driver fuels and the card is checked against its rules
- Receipt is captured in the app
- Transactions sync and anomalies are flagged
- Weekly PDF invoice is sent and QuickBooks updated
